Archival materials are
housed in the New College Thesis Room 134 of the library. The physical
safety of materials that are presumably unique and irreplaceable is
the prime consideration in defining use policies. The collections are
available to the campus community for reference, study and use with
staff assistance.
Access requires
arrangements to be made by contacting
Gail Novak, the
Cook Library Archivist, at 487-4406. An appointment must be scheduled
to access the materials. After outlining the subject area, the
Archivist will ensure that the appropriate materials have been pulled
for the researcher's use. These materials are restricted to " In
Library Use" only. The material may only be used in Room 134.
Honoring the Sunshine
Laws of the State of Florida, still means that original and personal
documents must be cleared through either the New College of Florida or
the University of South Florida's attorney's office, the Campus Dean,
Library Director, or with appropriate organizations or individuals. If
the material has appeared in print as a public document the Archivist
can provide the material without other permissions.
To use the archives,
the researcher signs in, and shows a picture ID. The Archivist will be
present and obtains materials for use. No briefcases, bags, or large
purses are allowed in the room. After use files are returned to the
Archivist. Only pencils, no pens are allowed.
If materials need to be
copied or digitized, give them to the Archivist who will tell you when
they will be ready for pickup and their costs.
Before any use or
publication based on archival materials is made notification along
with a copy for approval must be submitted to all parties involved.
This must include a statement of the use to be made of the materials
(name of publication), including any use of photographs, digitized
materials and if appropriate a description of any commercial
involvement. Written clearance for publication must then be obtained.
Copyright remains with the Jane Bancroft Cook Library. Financial gains
accrued from the use of any materials are made directly to, and are
for use and benefit of, the Jane Bancroft Cook Library.
