Transfer Records to the Archives

Archival records have long-term or permanent legal, administrative, or historical value pertaining to the University of South Florida at Sarasota/Manatee.  Records should be transferred to the Archives for permanent storage and access only after they are no longer actively used.  The following steps should be taken to transfer materials into the archives.
  • Evaluate records. 
  • Contact the Cook Library Archivist, Gail Novak at 487-4406 for an initial review of the records under consideration for transfer. 
  • Pack the records. 
  • Number the boxes.  
  • Make a list of the contents of each box. 
  • Send the lists to the Archivist who will then contact you to schedule an appointment to  review the records.
  • Ship the records to the location designated by the Archivist.
  • In the case that records need to be revisited, request the records from the Archivist.
